Operations Support – Fire & Security
Salary: £28,000 – £35,000 per annum (DOE)
Location: Office-based (Birmingham)
Reporting to: Operations Manager / Director
Club Connective is working with a well‑established, accredited fire and security services provider that is relaunching its fire and security department. As part of this growth, we are seeking an Operations Support professional to play a key role in building and maintaining robust operational and compliance processes.
This is a pivotal role supporting the controlled planning, delivery, documentation, and verification of fire and security works, helping to ensure compliant service delivery and the continued retention of NSI Gold and BAFE accreditations.

The Role The Operations Support role is central to the successful relaunch and ongoing operation of the fire and security department. Initially, you will help establish processes and controls; as the department grows, you will support day-to-day operations involving directly employed engineers and approved subcontractors.
You will ensure all works are planned, documented, evidenced, and auditable in line with NSI Scheme Rules, relevant British Standards, and BAFE requirements.

Key Responsibilities – Operational Control & Scheduling
- Plan, schedule, and allocate works to approved engineers and subcontractors using JobWatch and client portals.
- Ensure all jobs are issued with a clear scope, system details, access requirements, and timescales.
- Liaise with customers to confirm bookings and ensure site information is complete and accurate.
- Maintain visibility of workloads to support efficient planning and service continuity.
Subcontractor Management
- Allocate works only to approved and competent subcontractors in accordance with company procedures.
- Maintain up-to-date records of subcontractor competence, certifications, and insurance.
- Issue clear instructions and verify all reports, certificates, and documentation for compliance.
Compliance Documentation & Client Portals
- Upload, manage, and maintain service and installation documentation across client compliance portals.
- Ensure all records are accurate, traceable, and audit ready.
- Monitor and chase outstanding paperwork to prevent non-conformances.
Remedial Works & Corrective Actions
- Review reports to identify remedial actions and non-compliances.
- Prepare and issue remedial quotations promptly and accurately.
- Track authorisation, completion, and close-out of corrective works, ensuring full evidence is retained.
Billing & Financial Controls
- Invoice completed works in line with company procedures and billing cycles.
- Ensure all invoices are supported by compliant documentation and customer approval.
- Resolve documentation or billing issues prior to invoicing.
Procurement & Resource Control
- Order tools, equipment, and materials in line with operational procedures.
- Maintain equipment traceability where required.
- Coordinate controlled distribution of materials to engineers and subcontractors.
Accreditation & Audit Support
- Support the ongoing maintenance of NSI Gold and BAFE accreditations.
- Maintain controlled records, procedures, and audit evidence.
- Assist with internal checks, corrective actions, and external audits.
Skills & Experience
Essential:
- Strong administrative and organisational skills within a regulated or controlled environment.
- Excellent attention to detail, particularly with compliance documentation.
- Ability to follow and maintain structured procedures and processes.
- Confident communicator with engineers, subcontractors, and clients.
- Competent with job management systems and Microsoft Office.
Desirable:
- Experience within the fire and security industry.
- Experience allocating or managing works for subcontractors.
- Familiarity with NSI, BAFE, or similar accreditation frameworks.
- Experience using JobWatch or similar scheduling systems.
Training & Development
Full training will be provided, covering NSI Scheme requirements, BAFE schemes, relevant British Standards, and internal operational and compliance procedures.
